DO I
NEED?

If you are planning on hauling cargo through Kentucky, New York, New Mexico, or Oregon and you are within the weight requirements listed below you will need to apply for a state permit. There are additional exceptions to this requirement depending on the type of cargo and more. Trucker's Paper Trail can help you find out which permits you need and guide you through the process.

Requirements:

  • Kentucky KYU - 60,000lbs or more
  • NY HUT - 18,000lbs or more
  • NM & OR Weight-Distance - 26,000lbs or more

NEW ACCOUNT
& PERMIT

If you are just starting your trucking operation, new accounts will need to be established in all the states that require special permits.

Trucker's Paper Trail will file the applications for you - giving all the required information to the state - and we will apply for the permit for your specific truck and complete the process so that you can move forward in confidence, knowing that all your bases are covered.

TRUCK CHANGE

If you purchase a different truck or an additional truck, we will handle cancelling your old permit (if applicable) and applying for a new permit for your new truck so that you can be sure that all of your trucks are properly permitted.

If you are a Kentucky state permit holder and are doing a truck change your must also complete an Inventory Update.

NAME CHANGE

If you change the name of your company from a sole proprietorship to an LLC or Corporation, this name change will need to be made on your DOT, MC and PA PUC authorities as well as on your state permits. Since you will most likely be required to get a new EIN, most of the state permits will need to be closed and new accounts opened with these states.

QUARTERLY MILEAGE TAX

QUARTERLY MILEAGE TAX

State permits require that regular reports be filed. IFTA and most state reports require quarterly filings while some states require monthly filings for new accounts.

Trucker’s Paper Trail offers a complete service where we will file these state reports for you when they are due. In addition, when you use our quarterly fuel tax service, we will also handle your annual permit renewals, your DOT biennial update when it is due, your apportioned registration renewal (application filing only), and your 2290 tax filing – providing you with detailed information regarding these services and our outline for seeing them through.

PERMIT RENEWAL

Some state permits need to be renewed annually (New Mexico & Oregon), while others are on a three year cycle (New York), and others never need to be renewed (Kentucky).

INVENTORY UPDATE

Kentucky is one state that requires you to have a list of all active trucks registered under your state permit account. As you add new trucks and delete previously owned trucks, they require that you keep your truck inventory up to date.
